Import participants from a spreadsheet

Bring your existing list across in one go, with guardians and groups.

  1. Open Participants and select ↑ Import CSV.
  2. Select Download a template to get a file with the right columns and two example rows.
  3. Fill it in from your existing list, in Excel, Numbers or Google Sheets, and save or export it as CSV.
  4. Open the CSV in a text editor, copy everything including the header row, and paste it into Paste the rows, including the header.
  5. Select Preview import. Each row is checked and shown with its status before anything is saved.
  6. If your file names groups that do not exist yet, tick Create any group named in the file that does not exist yet.
  7. Select Import — the button shows how many participants will be added, for example Import 42 participants.

Columns

The template uses: First Name, Last Name, Preferred Name, Date of Birth, Group, Guardian Name, Guardian Phone, Guardian Email, Relationship. Only first and last name are required. Common alternative headings are understood too — “Surname”, “DOB”, “Class”, “Parent Phone” and similar.

  • Dates of birth can be written 14/03/2015 (day first) or 2015-03-14.
  • Up to 2,000 rows per file. Split a bigger list into several files.
  • Rows with errors are skipped and the reason is shown; the rest still import.
  • Rows that look like someone already in your list are flagged Looks like a duplicate. Nothing already in your list is overwritten.
  • A guardian who appears on several rows — a parent with three children — is created once.
